Before you send your letter
Start with the problem, not a legal label
You do not need to decide whether your situation needs a demand, complaint or notice. Start with a short account of what happened and the result you want. Include the business or person's name, the relevant city and state, the important dates and any money involved. A useful starting point is: I paid this amount for this result, this is what happened instead, and this is what would put it right. Keep guesses separate from facts you can support with a receipt, message or agreement.
Give the recipient one clear way to resolve it
A letter is easier to act on when its main request is specific: repay a stated amount, finish an agreed task, correct a bill or stop a charge. Explain how you calculated a money request and identify any part already repaid. Choose a response date that fits the problem and any applicable notice requirement. There is no single nationwide deadline for every demand letter. Your requested reply date is not automatically a legal deadline, and sending a letter does not pause a separate filing or payment-dispute time limit.
Send a record you can find again
Address the letter to someone who can resolve the issue, using the agreement, invoice or business contact details to check the recipient.
